Now that we have the item codes setup, given them sales pricing, and setup a warehouse to contain them it is now time to give them numbers. We have several options available to us in regards to how much or how little we check the products availability. Please read and understand this ticket thoroughly before making parameter alterations.
Physical Quantity Checking Options
We can choose to check the physical number of items in the warehouse or we can choose to not check it. This can be done by item, by country. So you can choose to check an items physical availability in a warehouse inn the USA but not in Sweden for instance. You access this parameter by going ingot he Item Code Lookup/Edit in the item Code Settings menu, then selecting the item and clicking on the Edit button. once the parameters come up, expand the "Advanced Settings" section and section and check that the answer to the "Check Quantity Available for inventory purposes?" is correct for each item in each country. If a Yes is indicated, then the items quantity on hand will be checked.
Assigning Quantity on Hand
If you choose to check the quantity of an item at Order time, you must give that item inventory. For each item we need to have a corresponding warehouse record with the Quantity on Hand being equal to the physical number of items present in the warehouse and available for shipping. This is accomplished by selecting the "Items" icon from the System Config Menu. From the Item Code Settings menu click the "Item Warehouse" button. Ensure that the proper warehouse is selected from the drop down. In most setups there will only by one warehouse. If you happen to have multiple warehouses setup, they will be listed in the drop down. Once you have selected the warehouse, find the desired item code from the listing and click the "Edit" button. Adjust the "Quantity on Hand" field to reflect the physical number of items in the warehouse.
Re-order Level
Place a number in this field if you would like the system to generate a stock re-order report for you. Once the QOH reached the indicated threshold, the item will appear on the report. Please indicate in the reporting ticket that you would like to have the re-order report generated and at what frequency you would like to have it run.
Warehouse Location
You can also choose to provide the warehouse location of the product in question. This is accomplished through the Bay, Shelf, and Lane numeric designations. Keep this in mind if you are planning on having iMatrix print picking tickets for your orders. If your orders are filled via a 3rd party or managed fulfillment warehouse or you do not have a complex warehousing configuration, this may not be necessary for you.
Backorders
iMatrix does have a backorder module available. This module carries a low monthly fee for its usage. if you would like more information on this macule, please raise a ticket with the title "Backorder Options Information Request" and ask us to provide you with the costs and functionality details of the module. Please note that selecting the "On Back Order List?" does not govern if an item is or is not able to be backordered.
