Overview

The inventory system allows you to create a record for each product that you sell. You enter the product into the system, creating a unique item code for each product. Each item code is attached to one or more warehouses and countries. Various price levels are assigned to each product to indicate the prices that different people pay for the product. Each time you receive new inventory for a product in the warehouse, you create a receiving record to increase the available inventory. Then, when orders are placed for products and the orders are posted, the system debits the correct number of items from the available inventory level. This allows you to track whether a product is in stock, needs to be re-ordered, or is on back order. Finally as you transfer products from one warehouse to another, the system maintains an accurate record of the number of available products in each warehouse. The following explains what the PrimeDownline system needs to know in order to maintain inventory.

Warehouse Setup

Though warehouses can be virtual, the majority of the time they represent physical warehouses you keep product in or ship product from. Warehouses can be associated with one or more countries. In the Settings tab, select the "Ordering" icon. in the far right under the Ordering Setup Options, select Warehosue Setup. The system comes with one default warehouse already setup. If you do not have more than one physical warehouse then simply click on the edit button next to the Default Warehouse and ensure that the warehouse information is correct. If it is not, correct the information and click on the Update Warehouse button.

Country - This is the default Country associated with the warehouse. The default is always United States.

Inside City Limit - The is only used if PrimeDownline deems it necessary. In the vast majority of circumstances this should be set at "Inside" and never changed.

If you have any questions on this portion of the warehouse setup please list them in this ticket.

Assign Countries to Warehouses

A warehouse can be associated with one or more countries. A country can only be associated with one default warehouse. In order to sell product in a given country there must be an association between that country and a warehouse. To associate a country with a warehouse click on the General icon in the System Config menu. On the far right menu under the General System Settings heading, select the Country Setup. Click on the Edit button next to the country you want to associate with a warehouse. Select the warehouse from the drop down and click on the Update Country to save the record. This country is now associated with that warehouse.

Note: During the setup process PrimeDownline may have already setup the countries that were indicated in the information sheet. Before adding a new country, please submit a ticket to the PrimeDownline team to ask for guidance. If you have not purchased the Premium System a fee may be assessed for enabling more than one country. Please contact your implementation manager for questions concerning this or other setup related issues.

Once you have warehouses setup and countries assigned to those warehouses, you can close this ticket and continue on to setting up item codes.
